Data processing and consent

This page sets out what information is processed in Policy Mitra AIOS, why, and on whose behalf.

1. Information processed

The platform processes the information users enter:

  • Contact details: name, phone number, email address, city and address.
  • Family details: family members, relationship, date of birth and gender.
  • Policy details: insurer, plan, policy number, sum insured, premium and renewal date.
  • Documents: policy schedules, identity and address proofs, claim papers and receipts.
  • Work records: requests, claims, tasks, notes, messages and commission entries.

2. Purposes

Information is processed to keep an accurate record of a customer's insurance, to remind the customer and advisor of renewals, to handle requests and claims, and to give advisors and brokers a view of their business.

3. On whose instructions

Where an advisor or broker records customer information, Policy Mitra processes it on their instructions and for their purposes. The advisor or broker is responsible for having a lawful basis, including the customer's consent, to record it.

4. Consent

Customers who create their own account agree to the Terms and the Privacy Policy when they register. Customers whose records are created by their advisor should be told by the advisor that their information is being recorded and why.

Consent can be withdrawn by asking the advisor or by writing to support. Withdrawing consent may mean the advisor can no longer manage the policy through the platform.

5. Communication

Calls, WhatsApp messages and emails to customers are sent by the advisor from their own device. Policy Mitra AIOS does not send messages to customers automatically.

6. Retention

Information is kept for as long as the account is active and as required by law afterwards. Records can be corrected or removed by the advisor or on request.
